Show management reserves the right to refuse admission to any visitor, exhibitor or exhibitor's employee who — in its opinion — is disruptive, unfit, intoxicated, or otherwise deemed unfit to enter the fair. Only exhibitors with appropriate badges are permitted to enter the building during move-in and move-out hours.
The public is not invited to the market and retail sales are strictly prohibited. No guests are allowed to protect the best interests of both buyers and exhibitors.
When you invite buyers (verbally or in writing), be sure to mention that retail business identification along with employee identification for each individual will be required for registration. No one under the age of 16 is permitted on the show floor, except infants incapable of sitting up on their own. No strollers are allowed. Infants taken onto the show floor must be carried at all times in a bunting bag or similar support.
Parent(s)/guardian(s) will be required to sign a Release and Indemnification Acknowledgement waiver before entering the show floor.
Pets are not allowed. However, this does not apply to guide dogs or service animals.
Booth Space Policies & Allocation
All exhibitors must abide by market rules, regulations, booth standards of quality and CanGift product criteria. Exhibitors must occupy allotted booth space contracted for, and only display that contracted exhibitor's product. Due to any circumstances preventing the contracted exhibitor from occupying the assigned booth space with its own product and/or services, show management has the right — at any time, for any reason — to repossess the booth and reallocate the space.
The CanGift Board of Directors asks that exhibitors know and understand the exhibiting Code of Ethics/Terms & Conditions. Upon signing the exhibiting contract, every exhibiting company thereby agrees to the Code of Ethics terms and policies.
Exhibitors are strictly prohibited from subletting all or part of their booth space. Violation of this policy will result in immediate loss of booth space.
All payments for booth space are to be made by the CanGift member who has contracted the space. Booth payments can be made with a company cheque in the name of the member company or by credit card.
The Toronto Gift + Home Market now accepts online credit card payments for membership renewals and/or show booth payments through the Payment Centre of your Member Portal. Cash payments are not accepted.
Payments must be received by show management on or before the due dates. Late deposits will void extra space and location requests. If the booth payment is due and not received by CanGift, the exhibitor will be deemed to have terminated the Contract for Exhibit Space and booth space could be reallocated to another member.
The exhibitor is responsible for the full cost of their contracted booth space upon signing their Contract for Exhibit Space. Any request by the exhibitor to terminate the Contract for Exhibit Space must be received by CanGift in writing. If a termination notice in writing is received, the following will apply:
1) If notice is received by CanGift 60 days or more prior to the first day of moving into the Market the Exhibitor will be entitled to a refund of their deposit paid to date less 30%.
2) If notice is received by CanGift between 59 – 21 days prior to the first day of moving into the Market the Exhibitor will be entitled to a refund of their deposit paid to date less 65%
3) If notice is received by CanGift 20 days or less prior to the first day of move into the Market no monies paid to date will be refunded.
If the final payment is due but has not been received by CanGift, the Exhibitor will be deemed to have terminated this Agreement and no monies paid to date will be refunded.
Under no circumstances will the amount of any refund to the exhibitor exceed the amount of the booth space fees paid up until the signed notification of termination.
Termination of the Contract for Exhibit Space will disentitle the exhibitor (or applicant) to any rights or claims against the booth space, the market or CanGift. The exhibitor will remain responsible for paying their total contracted booth fees, except as noted above. All monies retained will be deemed a reasonable estimate of the damages incurred by CanGift for administrative and other related costs arising out of the termination.
At the Market
Exhibitors are not permitted to enter another exhibitor's booth, or handle any product without expressed permission from the other exhibitor as per the Code of Ethics.
Exhibitors may install their own exhibits using the services of their regular employees. If they do not, we recommend using the Official Show Service Contractor. All display materials, including prefabricated booths, must be pre-fitted and ready for installation prior to shipment to the building. If an exhibitor requires additional assistance in the movement and installation of his display, they should contact and use the services of a professional display company.
Unauthorized photography or video recording of exhibitor booths and/or products is prohibited on the show floor without first obtaining permission from the exhibitor. Exhibitors who wish to take photographs of their own booth or products must wear a badge with the company name corresponding to the booth/products being photographed. Violators may be asked to delete any images by the exhibitor or show security.
Show management provides janitorial service for aisles only. It is suggested exhibitors sweep out their booths at the end of each day and place waste material in the aisle so it can be removed overnight. Building cleaning staff will not enter any exhibit for the purpose of sweeping or dusting.
Booths must be ready for show opening and staffed at all times during show hours. Exhibitors may not approach buyers in the aisle or in other exhibitors' booths. Handouts of promotional material or products are strictly prohibited outside the confines of your exhibit space. Any breach of this regulation will result in removal from the show.
Draws conducted by exhibitors in conjunction with their display must be free of any obligation on the part of the winner. Prize winners must not be required to place an order before collecting the prize offered. The schedule of prizes and terms of the draw must be clearly stated on the entry form and must comply with all existing regulations. Show management must be notified of any contests, draws or related activities at least two weeks before the show.
Electrical outlets are not included in booth costs. Exhibitors can use regular extension cords, but are not allowed to install any electrical wiring or devices on-site. All on-site wiring and connections must be installed by Showtech. This includes the installation of any electrical signs or lighting attached to the building structure.
Exhibitors must abide by all contractual agreements with all exclusive contractors and unions at the Edmonton EXPO Centre.
All electrical equipment and assemblies must conform to all Canadian Standards Association (CSA) requirements and the Canadian Electrical Code (CEC). It is the responsibility of each exhibitor to ensure all electrical equipment in, on or about their booth comply with CSA and CEC regulations. This includes electrical merchandise, lighting and display equipment.
Show badges are required for all persons seeking entry onto the show floor. Exhibitors must wear their badges at all times, including move-in/move-out. All personnel and outside contractors setting up and/or tearing down the booth should have move-in/move-out badges pre-ordered and wear them at all times.
Badges for last-minute additions to staff will be available for order on-site. Each person will have to present a personalized imprinted business card with the company name, or a note on the exhibiting company’s letterhead endorsing the individual as a representative of the company, in order to pick up their badge. Personal identification is also required for on-site badge pick up.
Distributing food samples is permitted with the following conditions: (1) Samples are free-of-charge, (2) distribution and consumption is confined to the exhibitor's booth space, (3) items are provided in small bite/sample-sized portions and (4) have been approved by show management and the Edmonton Expo Centre 30 days or more prior to first day of the show. NOTE: Onsite approval of samples is not permitted.
Any exhibitor who has received approval to give away samples/handouts of any kind must supply a sample to show management prior to opening, so that security can be advised.
Please note: the Edmonton EXPO Centre reserves the right to control the sampling of all food and beverages, including confectioneries.
Your exhibit contract requires minimum insurance coverage of $2,000,000 to cover any possible theft, damage or liability in case of any damage or injury caused while at the market. Show management will ensure all official contractors have the appropriate insurance. Each exhibitor should be adequately covered and protected for any unforeseen circumstances.
Please be aware of your insurance options. Kindly complete the mandatory insurance requirements form available in November and return it to us before the deadline date.
An official show insurance supplier's printable order form will also be available in December. If you are employing a third-party contractor to do any work on your booth, they are also required to provide CanGift with proof of insurance.
Each exhibitor is responsible for obtaining all necessary licences and permits to use music, photographs or other copyrighted material in their booth or display. Show management reserves the right to remove any part of a booth or display from the exhibit hall that incorporates music, photographs or other copyrighted material and for which the exhibitor fails to produce proof they hold all required licences.
The exhibitor shall remain liable for and shall indemnify and hold show management and the facility, their agents and employees, harmless from all loss, cost, claims, causes of action, suits, damages, liability, expenses and costs, including reasonable attorney's fees, arising from or out of any violation or infringement (or claim violation or infringement) by the exhibitor, exhibitor's agents or employees of any patent, copyright or trade secret rights or privileges.
Merchandise may be removed by the exhibitor only at the end of each market day (with the exception of the last day) and must be accompanied by a Product Removal Form, which can be obtained from the Show Office. On the last day of the market no product can be removed before market closing. Buyers will not be permitted to return to the show floor once the market closes at 3 p.m. on the last day. There will be no exceptions.
No merchandise will be accepted before the first day of move-in. All shipments must be pre-paid, otherwise they will be refused.

Show Management will maintain a fully staffed Show Office at the entrance of Hall E.
All exhibits should have a sign with their company name. All signs must be in a readily visible, prominent location and may not exceed the 8-foot (2.4 metre) height limit.
Hanging signs or product must be approved in writing by show management.
No signs of any kind will be permitted in any area of the show facility advertsing any other event, exhibition, display or service. Exhibitors are not allowed to display signs outside their booth. Show management reserves the right to remove any signs violating this policy.
While every precaution is taken to safeguard exhibits, Show Management, GES Canada, Lange and the Edmonton EXPO Centre do not assume responsibility for the safety of exhibits against loss, robbery, fire, damage, accidents or any cause whatsoever, either during move-in, show time or move-out periods. In all cases, exhibitors must insure their goods and exhibits for such losses.
Please be aware of your responsibilities under the Alberta Occupational Health and Safety Act. Kindly complete the Health and Safety Policy Acknowledgement Form available in the Forms section of your Exhibitor Kit and return it to us before the deadline date.
If exhibitors use independent contractors to deliver, install and/or dismantle their booth, we require these contractors to also have $2,000,000 insurance coverage. Independent contractors should fax copies of their insurance policy directly to Show Management. Any contractor found not to have proof of adequate insurance coverage will not be permitted on the show floor.
Entry into storage and loading areas is at the exhibitor's risk and neither CanGift and the Edmonton Expo Centre will assume responsibility for personal injury due to accidents or any cause whatsoever.
The show will have 24-hour security. However, Show Management accepts no responsibility or liability for loss or damage to merchandise or display material.
Please secure all laptops during the show hours and move-in and move-out. Do not leave these items unattended for any period of time.
Uniformed security guards will be on duty throughout move-in, show days and nights, and move-out. Exhibitors are asked to contact the Show Office immediately if losses are experienced, so that security personnel can conduct an investigation.
Move-in & Move-out
Material handling is provided by Show Management free-of-charge and covers the offloading of freight from the vehicle to your booth. Although security precautions will be taken, show management assumes no responsibility for the loss or damage, either during move-in, the show, or move-out periods, of any product either in a booth or in a feature area.
Affixing labels is the sole responsibility of the exhibitor or his/her representatives. All previous labels should be removed or blacked out. Materials handling personnel assume no responsibility for:
• Errors to above procedures
• Removal of containers with old/previous show’s material handling labels
• Improper information on old/previous show’s material handling labels
• Valuables stored in containers with old/previous show’s material handling labels
Boxes and cartons must be neatly piled in storage areas designated by show management/materials handling. To avoid losing cartons and packing material, show management suggests exhibitors flatten their cartons and tie them together or pack cartons and label them. Extra paper for packing can be brought in at the end of the show.
Exhibitors with crates should pack cartons/boxes inside these containers to avoid loss. Please make sure your cartons and crates are properly labelled before storing. Storage labels can be obtained at Lange. Due to fire hazard concerns and for access to electrical boxes, storage of empty boxes and packing materials is not permitted behind exhibitors' booths. Show management provides free pick-up storage and delivery of empty crates and boxes.
